Archived users and 'in no group'

On your top level Users list you may also have tabs for users who are In no group or Archived, as well as for Learners and Tutors.

In no group

Users who are in no group can still access their assigned modules like any other user. They don't appear in any group lists or statistics. No group tutors can see users who are in no group - only users who are organisation trackers. You can add them to a group at any time as either learners or tutors.

If you have no need to categorise/group your users or have group-level tutors there is no need to have groups if you don't want to. You can view all users's progress from the top level Users list.

Archived

'Archived' is the status of a user that you no longer want to see counted in your overall progress and completion figures in the dashboard and reports. They might have left your organisation or been created by mistake.

When a user is archived, all their courses and licences are removed and they are removed from any groups. They are no longer visible in the tutor dashboard for tracking and monitoring, or in Excel reports. They go to the Archived tab.

To archive a user, in Edit mode, select the user and go to Status. Click Archive. Archived users can be unarchived at any time in the same way. You can add their courses back again and they can begin again where they left off. No data is lost.

You cannot archive a user who is also in another organisation that you don't control. The interface will offer to 'remove' the user from your organisation instead. Do this if you really don't want to see this user in your tracking and reports. You will need to contact IAPS Digital Academy support to undo this action.
