Downloading information and evidence

The IAPS Digital Academy dashboard isn't just great for viewing live data of course progress and completions by your users. You can also download Excel and PDF reports of really useful data that you can use in other systems or take as evidence of completion.

Downloads that are relevant to the data you are seeing on screen are always available by going to Download data on the right hand side.

PDF Learning records

Select a user > Download data > Learning record (pdf)

The PDF learning record is nicely formatted transcript of all course starts and completions by a learner. This is great as evidence of course completions that can be added to a member of staff's portfolio or training record.

You can download all of these learning records in one go for all users in the group.

Overview report

Download data > Overview (xlsx)

This is a detailed overview of all information from your group or organisation. It features a matrix of all learners and all courses so you can get an impression of where your users' completion and engagement is.

The report has 5 ways of viewing your data:

• Progress: this tab lists users down the left and all courses across the top in a matrix. This way you can see progress and completion for all courses and all users at once.
• Scores: this tab lists users down the left and courses across the top. This way you can see end-of-course scores for all users and all courses at once.
• Completions: this is a readout of all course completions by your users, starting with the most recent. Shows you the completing user, score achieved and the date completed.
• Learners: summary statistics for all your users, such as how many courses they have started and completion, and what their completion rate is.
• Courses: summary stats for all courses, such as how many learners have started and finished them, and what their completion rate is.

Completions (xlsx)

Download data > Completions (xlsx)

This is a readout of all course completions by your users, starting with the most recent. Shows you the completing user, score achieved and the date completed.

Simple spreadsheets

Wherever you are in the dashboard you can also download simple spreadsheets of the data you can see on screen. Depending on where you are, these downloads might be called: 

• Users summary
• Courses summary
• Groups summary
• Group details
• Course details

Including Tutors and In no group

By default, most report downloads exclude users who are only ever 'tutors'. This is because tutors principally use the app for tracking learners, not for their own learning. 

Users who are in no group are also excluded from reports by default as well.

To include these users, tick the Tutors or In no group boxes before you download a spreadsheet.
